Problem

Before MethodHub, submissions lived inside a Google Form + Excel spreadsheet workflow. Employees had no visibility into their past submissions, deadlines were missed because there was no persistent reminder system, and HR spent hours every month manually: 1. Cross-checking who submitted vs. who didn't 2. Flagging late submissions by hand 3. Tracking review status across multiple spreadsheet tabs 4. Compiling monthly/quarterly/yearly reports for leadership 5. There was no winner board so others could not learn from winning methods. 6. Because the process was invisible and administrative, employees gave low priority to submissions. The form felt like "homework for HR" rather than a growth tool. 7. Motivation was low. Quality suffered. And the company lost the compounding effect of shared improvements , one person's clever fix never reached the other employees who could have used it.

Old Way

1. HR gave announcement in Discord with a form link each month. 2. Employees filled the form (or forgot to). 3. HR downloaded a spreadsheet of responses. 4. HR manually compared employee list against spreadsheet rows to find missing submissions. 5. HR manually checked timestamps against the 20th deadline to flag lateness. 6. HR manually changed status from "submitted" to "under review" to "approved/rejected" in Excel. 7.Winners' methods were never archived or searchable — new employees couldn't learn from past winners. 8. Employees had no way to see their own submission history or track whether their method was approved. The old way was opaque, and high-friction. Submission felt like a chore. Learning across teams was zero.

New Method

I built Doin MethodHub — a purpose‑built web application that replaces the entire Google Form + Excel workflow with a single login‑protected system, transforming submission from a monthly chore into an invisible, automated backbone that serves everyone simultaneously. 1. Every employee gets a personal dashboard showing every method they have ever submitted, along with its current review status — so they never have to ask "where is my submission?" and can watch their contribution move through the pipeline without a single email. 2. HR and admins see a unified table at /admin/submissions with instant filters for status, lateness, winners, missing employees, month, quarter, or category — meaning what used to take an hour of spreadsheet gymnastics now resolves in one click. 3. Missing employee tracking is fully automated — HR clicks a "missing" filter and immediately sees everyone who hasn't submitted for the current cycle. No more cross‑referencing 50 names against spreadsheet rows, and no more anxiety about accidentally overlooking someone. 4. Reporting is instantaneous — monthly, quarterly, and yearly aggregates with department breakdowns and top contributors are generated on demand and printable to PDF, so leadership gets answers in seconds instead of waiting for HR to compile slides. 5. Winning methods live permanently on a public Winners Wall (/winners) that is statically cached and accessible to anyone — even logged‑out employees — so one person's clever fix becomes a permanent learning resource for the entire company. Appreciation is built directly into the workflow: leadership marks winners with a single click, and the visible badge delivers immediate, public recognition that compounds motivation month after month.

Impact

1. The company built a living knowledge base — every approved method, especially winners, becomes searchable, readable, and learnable by all employees. Growth becomes exponential, not linear. 2. Employees now want to submit — because their work is seen, archived, and celebrated. A submission stopped being "homework for HR" and became a permanent career artifact. 3. Recognition became immediate and visible — the winner badge appears the moment leadership clicks "Approve as Winner." 4. HR stress around "who forgot to submit" disappeared — the system shows the truth instantly. No chasing. No guessing. No awkward reminders. 5.Others can now read the winning submissions and learn from that. 6. Monthly reports go from 2 hours to 2 seconds — quarterly and yearly aggregates with department breakdowns generate instantly. Leadership stops waiting. 7. Private feedback system, now our HR can privately give feedback on submissions.
